Team and client access

Invite colleagues, choose what each person can do, let a client follow their grants and approve proposals, and give people tasks.

Open Account settings in the portal

Who can do what

  • Owner: everything, including billing, account settings and inviting people. An account always has at least one.
  • Member: works on clients, grants, documents and proposals. Can't change billing or account settings, or invite people.
  • Viewer: can look at everything but can't change anything. A banner at the top says so.
  • Client: someone at one of your clients. They see only that client's grants (name, funder, status, deadline and amount) and the proposals you send them to review. They don't see your notes, scores, documents or other clients.

Invite someone

  1. Choose the gear icon at the top right, then find Team in Account settings.
  2. Under Invite someone, type their email address.
  3. Choose what they can do. For a client, also choose which client they're from.
  4. Choose Send invitation. We email them from support@grantassembly.com.

The link works for 14 days and only for that email address. The screen also shows the link, so you can copy it and send it yourself if the email doesn't arrive. Under Waiting to join, choose Send again for a new link (the old one stops working) or Cancel invitation.

Join from an invitation

  1. Open the email and choose Accept invitation.
  2. Sign in with the email address the invitation was sent to. New to GrantAssembly? Choose Sign up on the sign-in page and use that address.
  3. Tick the box to agree to the Terms of Service, then choose Join.

One sign-in belongs to one account. If your email already has its own GrantAssembly account, sign in with a different email to join, or write to support@grantassembly.com.

Change or remove someone

Owners see a Change role… list and a Remove button beside each person. Pick a role, then choose Change. Remove asks first, then stops them signing in at once. Their work stays. A client's access can be removed but not changed; invite them again with another role instead.

Let a client follow along and approve

  1. Invite the person with Client picked, and choose their organization.
  2. They sign in to a page of their own: Waiting for your review, then Your grants.
  3. When a proposal or letter is ready, open it in Writing, then choose Send to client for review under its name. They get an email.
  4. They read it (with your data filled in) and choose Approve, or Ask for changes with a note. You see their answer on the document and get an email.

Edit and send again as often as you need. The card tells you when the text has changed since they last saw it.

Give someone a task

On a grant's Application section, under Tasks, choose Edit and type or pick a team member's name in Owner. The task then shows under Your tasks on their Home page until it's ticked. Owners and members can be given tasks; viewers can't, since they can't tick them.
