Grants
The grants you're working on: statuses, filters, adding, moving and exporting.
The Grants list
Grants holds every grant you're working on, for every client. Grants come from Recommended, Federal grants, State grants and Foundations, or you add them by hand.
Each card shows the grant, the funder, the deadline with days left, the amount, where it came from (such as Federal), the Go/No-Go decision or score, and its status. When the grant's Application section has an open task or milestone, the card also shows the next one, with its date and who it's assigned to. Overdue steps say Overdue. Choose a card to open the grant page. The paperclip opens the grant's documents, and you can drop files onto a card to add them.
Find a grant
The arrows at the top show how many grants sit at each stage, from Applying to Awarded or Declined. Choose an arrow to see only that stage, and choose it again to go back.
The list starts with the grants still In progress (Applying, Submitted and Under Review), so decided grants stay out of the way. Choose All to see every grant, or Withdrawn for the ones you stopped.
Type in the search box to find a grant by its name, funder, client or amount. Sort by orders the list by deadline (soonest first), newest, amount (largest first) or name, and GrantAssembly remembers your choice. The Client menu shows one client, and All, Federal, State, Foundation filters by kind of funder. Board and List change the layout. Grants opens on the Board. List is handy for long lists, picking several grants and dragging a grant to another client.
The Board
Board shows your grants in columns, one for each stage: Applying, Submitted and Under Review, then Decided for Awarded, Declined and Withdrawn grants. While the list shows grants in progress, Decided stays folded. Choose Show decided to open it.
Each stage has its own color, on its arrow at the top, its column and its cards, so you can tell them apart at a glance. The stage name is always shown too. Every column is as tall as the longest one, so you can always drag a card into it.
To move a grant, drag its card to the next column (or back one, if you moved it too soon). While you drag, the columns it can't move to are grayed out. Drag a grant that's under review onto Awarded or Declined in the Decided column.
Choose a card to open the grant. Its page has the stage buttons (handy from the keyboard), its documents, and the client control for moving it to another client. On the Board, dragging only ever changes a grant's stage.
Move a grant through its stages
You move each grant through its stages yourself:
Applying → Submitted → Under Review → Awarded or Declined
On the grant's page, or under a card in List, use the buttons to move it one step forward, or one step back if you clicked too soon. On the Board, drag it to the next column. Withdrawn is for when you decide not to go on, from any stage. A withdrawn grant can be reinstated at the stage it left.
Add a grant
Choose Add grant. It first asks whether you already have a grant in mind. If not, choose where to look (Foundations, or Recommended, Federal grants and State grants when you apply for government grants). The list opens right in the popup: search it, then choose Start application on the one you want. It's added to Grants and opens in Writing so you can start the proposal. If you do have one in mind, say who's giving it: a foundation, a government agency, a company or someone else. For a federal or state grant you can search the listings from there too, so its deadline and details come with it.
Then fill in the grant. Only the grant's name is required. You can also fill in the funder, the kind of funder, the client, its status, deadline, amount and notes. Choose Add to Grants, then View in the notice to open it.
As you type the funder, GrantAssembly suggests federal agencies and foundations it knows. You can also keep exactly what you typed.
Move a grant to another client
Open the grant and use the client control in Details. In List on a computer, you can also drag a card onto another client's group, or onto the list of clients that appears while you drag. A client that already has the same grant can't take a second copy.
Work on several grants at once
In List, choose Select, then tick the grants you want, or choose Select all for everything the list shows. The bar above the list then lets you:
- Move to… a client: pick the client, then choose Move. A grant that client already has is skipped, and the notice says how many moved.
- Export just the selected grants as a spreadsheet or PDF.
- Delete them. A notice offers Undo for a few seconds before anything is deleted.
Choose Done to stop selecting.
Export
Choose Export next to the title to save exactly what the list shows as a spreadsheet (CSV) or a PDF. It includes each grant's client, funder, status, deadline, days left, amount, Go/No-Go and eligibility. Use it for a client report or a board meeting.
Delete a grant
Open the grant and choose Delete grant. It removes the grant with its status, notes, checklist and documents. A notice offers Undo for a few seconds before anything is deleted.
